Event Terms and Conditions
Vehicle Eligibility & Preparation
Vehicle eligibility criteria are specific to each event. The Organiser reserves the right, at its sole discretion, to assess all entry applications and to determine whether a vehicle is suitable for participation. Entrants will be notified if a vehicle is deemed ineligible or otherwise unsuitable. Where a vehicle is deemed ineligible and a suitable replacement vehicle cannot be provided, any deposit paid will be refunded in full.
It is the sole responsibility of the vehicle owner and/or entrant to ensure that their vehicle is roadworthy, fully serviced, properly prepared, and suitable for the specific demands of the event, including but not limited to anticipated mileage, duration, climate, elevation, road surface, and terrain.
Mechanical Support & Roadside Assistance
A qualified mechanical support team will follow the event route and will use reasonable endeavours to provide roadside assistance to participating vehicles experiencing mechanical difficulties.
The mechanical support team will carry tools and equipment suitable for minor or temporary repairs only. The team will not undertake major mechanical repairs, nor will it attempt to rectify faults which, in its reasonable opinion, existed prior to the start of the event. The Organiser and its mechanical support personnel accept no responsibility or liability for any damage, loss, or mechanical failure, whether direct or indirect, arising from or in connection with any assistance or repair provided.
Participants are permitted and encouraged to arrange independent or specialist mechanical support at their own expense, particularly where their vehicle requires specialist knowledge or care.
All participants are strongly advised to hold a comprehensive roadside assistance and vehicle recovery policy valid for the countries in which the event operates. The on-event mechanical support team may not be equipped to recover vehicles in the event of a breakdown.
Driving & Conduct
By participating in an ITINERIS event, participants acknowledge that driving and related activities involve inherent risk.
Each driver confirms that they:

Hold a valid driving licence for the vehicle being used

Hold valid motor insurance providing appropriate cover for the territories in which the event takes place

Are medically fit and legally entitled to drive

Will comply with all applicable traffic laws, regulations, and restrictions
Participants are solely responsible for ensuring they carry all documentation required for border crossings, customs, vehicle ownership, and insurance.
Participants must drive in a safe, courteous, and responsible manner at all times. Dangerous driving, reckless behaviour, or conduct deemed by the Organiser to be unsafe, antisocial, or detrimental to the event may result in immediate disqualification, without refund.
Photography & Media Consent
Participants acknowledge that ITINERIS events may attract photography and filming by spectators, venues, and third parties, over which the Organiser has no control. Unless the participant notifies the Organiser in writing prior to the start of the event, participants grant the Organiser a royalty-free, perpetual, worldwide licence to use photographs and video footage captured by the Organiser or its appointed media team featuring the participant and/or their vehicle, for marketing, promotional, editorial, and commercial purposes, including but not limited to websites, printed publications, social media, and advertising.
Participants may withdraw consent for marketing use of organiser-captured media by providing written notice in advance of the event. Event photographs and video will normally be shared with participants within approximately 21 days following the conclusion of the event.
Luggage Service
Where a luggage assistance service is offered, participants use the service at their own risk and are strongly advised to obtain travel insurance covering personal belongings. Participants must retain valuables, fragile items, medicines, and essential documents with them at all times.
The Organiser will take reasonable care in handling luggage; however, liability for loss, theft, or damage while luggage is in the care of the luggage team is limited to a maximum of £500 per claim, calculated with reference to the duration of the event. Correct luggage handover procedures must be followed. The Organiser accepts no responsibility for luggage that is incorrectly labelled, handed over outside agreed procedures, or left unattended.
Travel & Medical Insurance
Participants must hold valid travel insurance for the full duration of the event, including adequate medical and repatriation cover. Participants are responsible for ensuring that their insurance policies provide appropriate cover for the activities undertaken during the event.
Liability & Assumption of Risk
Participation in the event is entirely at the participant’s own risk.
Participants acknowledge and accept all risks associated with, including but not limited to:

International travel
-
Driving on public roads and private land
-
Mechanical failure
-
Weather conditions
-
Recreational and social activities included in or associated with the itinerary
Participants agree to follow all instructions issued by the Organiser, event staff, and officials. Safety briefings may be held prior to specific activities or route sections. Attendance at such briefings is mandatory. Failure to attend may result in exclusion from the relevant activity or section.
Nothing in these Terms and Conditions shall exclude or limit the Organiser’s liability for:

Death or personal injury caused by negligence

Fraud or fraudulent misrepresentation

Any liability which cannot be excluded or limited by law
Subject to the above, the Organiser shall not be liable for any indirect, consequential, or economic loss, or for loss of enjoyment.
